Privacy policy

This policy explains what personal data Hybrid NW collects about you, how we use it, who we share it with, and the rights you have. We handle your data in line with the UK GDPR and the Data Protection Act 2018.

1. Who we are

Hybrid NW is a UK hybrid fitness race series operated by Nuvii Fitness Ltd ("Hybrid NW", "we", "us", "our"), which is the data controller responsible for your personal data.

2. The information we collect

Information you give us

  • Race entry: your name, email address and age (we use age to confirm eligibility for the correct division).
  • Enquiries: when you use our partner, affiliate or contact forms, the details you provide — such as your name, brand/organisation, email address, and any information you include about your enquiry.
  • Email sign-ups: your name and email address if you join our mailing list or early-access list.

Ticket purchases

Ticket payments are taken by our payment provider, Stripe, on a secure checkout. Stripe processes your card details directly — we never see or store your full card number. We receive confirmation of your purchase, including your name, email address and order details.

Information we collect automatically

When you use our website we collect limited technical and usage data through cookies and similar technologies (for example, pages viewed, device and browser type, and approximate location based on IP address). Analytics and marketing cookies only run after you accept them via our cookie banner. See our Cookie Policy for the full list.

Photography and video at events

We take photographs and video at our races for results, safety and promotional purposes. These may feature participants and spectators. If you would prefer not to appear in promotional material, contact us at team@hybridnw.uk and we will do our best to accommodate you.

3. How we use your data and our lawful basis

Under UK data protection law we must have a lawful basis for using your personal data. The bases we rely on are set out below.

Where we rely on legitimate interests, we have considered your rights and interests and will not use your data in ways you would not reasonably expect. You can object to this processing at any time (see section 8).

4. Marketing

We only send marketing emails if you have opted in. We use Mailchimp to manage our mailing list and send campaigns. You can unsubscribe at any time using the link in any email, or by emailing team@hybridnw.uk. Unsubscribing from marketing will not stop essential emails about a race you have entered.

5. Who we share your data with

We do not sell your personal data. We share it only with trusted service providers who help us run Hybrid NW, and only as needed:

  • Stripe — secure payment processing for tickets.
  • Mailchimp (Intuit) — email marketing and mailing-list management.
  • Google Tag Manager (Google) — manages the analytics and marketing tags on our website.
  • Google Analytics (Google) — website analytics (only with your consent).
  • Meta (Facebook / Instagram) — advertising measurement (only with your consent).
  • TikTok — advertising measurement (only with your consent).
  • Netlify — website hosting and processing of form submissions.
  • Professional advisers (such as accountants) and authorities or regulators where we are required to by law.

These providers act as our processors and may only use your data on our instructions.

6. Storing and transferring data outside the UK

Some of our providers (including Stripe, Mailchimp, Google, Meta, TikTok and Netlify) are based in, or store data in, countries outside the UK such as the United States. Where your data is transferred outside the UK, we make sure it is protected by appropriate safeguards — such as UK ‘adequacy’ regulations, the UK Extension to the EU-US Data Privacy Framework, or International Data Transfer Agreements / the UK Addendum to the EU Standard Contractual Clauses.

7. How long we keep your data

  • Race entry and transaction records: kept for up to 6 years after the event to meet tax and accounting requirements.
  • Enquiry data: kept for as long as needed to deal with your enquiry and any resulting relationship, then deleted.
  • Marketing data: kept until you unsubscribe or ask us to remove you.
  • Analytics data: retained by Google Analytics for up to 14 months.

8. Your rights

Under UK data protection law you have the right to:

  • be informed about how we use your data;
  • access a copy of the data we hold about you;
  • have inaccurate data corrected;
  • have your data erased in certain circumstances;
  • restrict or object to our use of your data;
  • data portability; and
  • withdraw your consent at any time, where we rely on consent.

To exercise any of these rights, email team@hybridnw.uk. We will respond within one month. Exercising your rights is free, and we will not treat you differently for doing so.

9. Children's privacy

Entry to our main public races is 18 and over. Our Hyteens division (ages 13–15) is entered by a parent or guardian, who registers on the young person's behalf and provides consent. We only collect the minimum information needed (such as name and age) and treat children's data with extra care. We do not knowingly collect data from children in any other context.

10. Keeping your data secure

We use appropriate technical and organisational measures to protect your data, and we work only with reputable providers (such as Stripe and Mailchimp) who maintain their own strong security standards. No online service can be guaranteed 100% secure, but we take reasonable steps to protect your information.

11. Complaints

If you have a concern about how we handle your data, please contact us first at team@hybridnw.uk so we can put things right. You also have the right to complain to the Information Commissioner's Office (ICO):

12. Changes to this policy

We may update this policy from time to time. When we do, we will change the ‘last updated’ date at the top of this page. Please check back occasionally.
